Who Controls My Access?

Section: Account, Login & ProfileCategory: Account SetupGuide3 min read

Summary

Property management and building management control resident access permissions. The Grata app reflects the access permissions, resident records, unit assignments, and building configuration provided by your property team.
Grata does not independently decide which doors, units, amenities, or access methods a resident can use. Access may vary by building, resident type, unit, permissions, hardware setup, and enabled features.
If access is missing, incorrect, or recently changed, property management may need to confirm your resident record or update permissions before the app can show the right doors and tools.
What property management controls▾
  • Resident records and account details tied to your unit
  • Unit assignments and building profile information
  • Access permissions for suite doors, common areas, and other enabled doors
  • Which doors a resident can open and when access is valid
  • Guest and co-resident access rules your building allows
  • Amenity access and booking permissions where applicable
  • Building policies, move-in/move-out timing, and access changes
  • Which building features are enabled for residents
  • Lockout, emergency access, and after-hours access processes
What Grata controls▾
  • The Grata app and platform that displays configured access information
  • App access flows such as sign-in, Digital Key, and door controls when enabled
  • Manage Access tools for My PIN, guest access, and co-resident workflows when your building supports them
  • PIN and guest access workflows configured by your building
  • Notifications, help articles, and in-app guidance
  • Technical troubleshooting when a building escalates an app or platform issue to Grata
Why access may look different by building▾
  • Buildings use different smart locks, access-control systems, and intercom setups
  • Common area doors, amenity access, and guest rules vary by property
  • Hardware models and enabled features differ from one building to another
  • Resident type, unit assignment, and permissions can change what appears in the app
  • One resident may see different doors or tools than another resident in the same building or a different property
What to do if your access looks wrong▾
  • Confirm you are signed into the correct Grata account for your unit
  • Confirm you selected the correct building or unit profile if your account shows more than one
  • Check whether the door, Digital Key, Manage Access tool, or amenity is supposed to be available to you
  • Contact property management if your unit, resident record, or access permissions appear incorrect
  • Property management may update your record, confirm building setup, or escalate a technical issue to Grata if the app is not reflecting the correct configuration
  • See Report Incorrect Account Information if your profile details look wrong
